The European Network on Independent Living (ENIL) is looking for a full-time Office Manager for its newly opened Brussels office, with a starting date as soon as possible. The Office Manager will be responsible for running ENIL’s administration and for financial management. This is a key post in the organisation, responsible for ensuring the smooth everyday operation of the small Brussels office and maintaining good cooperation with ENIL members and other partners across Europe.

Essential requirements

  • Good understanding of the Independent Living philosophy and the social model of disability
  • Experience on working on EU funded projects
  • Experience of working in the non-profit sector
  • Knowledge of essential legislation necessary for running a small office in Brussels
  • Excellent organisational skills
  • Excellent financial management skills
  • Sound accounting skills
  • Sound writing skills
  • Excellent communication skills
  • Ability to upload content on websites and the social media
  • Computer literate
  • Excellent language skills: English and French or Flemish
  • Valid Belgian work permit (if not an EU citizen)

 

Responsibilities

The ENIL Office Manager will be responsible for the following:

Administration and reporting

  • Organising the annual face to face Board meeting
  • Acting as a Secretary for the Board meetings (face to face and online)
  • Organising face to face staff meetings
  • Acting as a Secretary for the staff meetings (face to face and online)
  • Ensuring that the ENIL Brussels office is open Monday to Friday from 9:00 am to 17:00 pm (excluding public holidays)
  • Answering telephone and email queries, recording and redirecting queries to other staff members
  • Maintaining secretariat mail
  • Drafting reports to the European Commission, in cooperation with other staff members
  • Collating supporting documents required for reporting to the European Commission
  • Ensuring that reports to the European Commission meet all the requirements and are submitted on time
  • Maintaining staff records and project-related paperwork
  • Filing and archiving of financial documents, in line with the legal and project requirements

 

Financial management

  • Day to day accounting
  • Acting as a contact person for the external bookkeeping service
  • Overseeing project budgets
  • Producing financial reports for the Executive Director and the Board
  • Submitting verification/validation of expenditure to funders
  • Preparing documents for the audit
  • Preparing budgets for new fundraising applications
  • Ensuring that the ENIL finances are kept in order and that they meet the required legislative requirements 

 

Events coordination

  • Coordinating logistics (booking tickets, meeting rooms, organising catering and access) for events and meetings organised by ENIL
